13.2    Add a User

Both Global and Organization Admins can add non-admin users. However, only Global Admins can add another Global Admin user. The Organization Admin can add another Organization Admin, but only for the organizations that he/she is managing.

To add a user:

1.      Access the Users page. (See View Users for guidance.)

2.     Click the Add User button.

3.      In the Authentication section of the Add User dialog, do the following:

·         Enter the User Name. (The user name must be unique and be between 10 and 50 characters, and can only contain alphanumeric characters and underscores).

·         Select the Active check box to make the user active. The new user does not receive a notification informing them that they have an account created unless the user is in an active state. If a user is created as inactive and then marked active, the notification is sent at that time.

·         Accept the default for Allow Login (checked) so the user is able to log in via the user interface.

·         If adding an admin type, select one of the following check boxes. (For a regular user, do not check either of the admin check boxes.)

o      Global Admin – has full access to all functionality. (See Global Admin Permission Rules for details about Global Admin users.)

o      Organization Admin can only manage trials that belong to the organization(s) they are managing. Note that both the username of a user and the email of a user must be unique across all organizations. Therefore, the user you are trying to add to your organization may already exist in another organization. If you try to add a user that already exists in another organization, you receive a pop-up indicating that the user already exists and asking if you want to assign them to your organization. (See Organization Admin Permission Rules for more information about Organization Admin users.)

 

Notes:

 

o       By default, admin users are assigned the Setup Administrator role in TrialMaster and the TBRole in TrialBuilder for each trial they can access.

o       If a user has no functional access to TrialMaster, then Allow Login should only be unchecked for users that are used by an integration and should not have access to login to AnjuEDC, TrialBuilder or TrialMaster.

·         Select the Primary Organization from the drop-down list. A user must be assigned one primary organization but can also be assigned to secondary organizations. (See Assign Users to an Organization.) However, after selecting the organization in this field, it will remain the primary organization for the user until it is changed again via the Edit User dialog. (See Edit a User for instructions.)

 

Note: The Is External User and the Authentication URL are only enabled if the primary organization of the user has SSO enabled.

 

4.     In the User Information section, enter/select the applicable information. Required fields are indicated with a red asterisk (*).

·         The First Name and Last Name fields allow special characters, including foreign language characters. A maximum of 35 characters is allowed.

·         The email address must be unique and cannot be assigned to other users.

·         The DD/MON/YYYY (EN) is the English date format and DD/MON/YYYY (DE) is the Deutch (German) date format.

·         In the Time Format field, the 24-hour time is the same as military time.

5.      If you want to select another language, select it from the Language drop-down list. (This drop-down list only displays if the Foreign Language feature is set up for your trial.)

 

Note: If the translation database is down, English is the only language selection and a message displays at the top of the page, indicating that the language selection is currently unavailable and the application will display in English for the time being. (This only affects those studies which have been set up for translation. For studies not set up for translation, the message does not display.)

 

6.     Click the Submit button on the bottom left of the page. The Users page re-displays with a confirmation message at the top of the page.

·         If you are a Global or Organization Admin and you added a user whose email address already exists, but the user is not assigned to the selected primary organization which you are managing, the User Exists dialog displays, asking whether to assign that user to the selected primary organization. Select the Yes button in the dialog to confirm.

Example 1 shows the message that displays when adding a non-admin user.

Example 2 shows the message when adding Organization Admin user.

Click the OK button when the confirmation message displays. The Users page re-displays with the new user.

 

Notes:

 

·         If you select No in the User Exists dialog, the Add User page re-displays with the information you entered/selected.

·         If the user exists as a deleted user in organizations that the Organization Admin does not have access to, when selecting Yes to assign the user to their organization:

o         The user is unassigned to all organizations other than the organization entered as the primary organization of the user in the Add User dialog. In most cases, the user will not already have access to the primary organization specified.  However, this could occur if the user exists as deleted in the organization that the Organization Admin has access to as well as in other organizations that the Organization Admin does not have access to. In this case, a warning message displays, indicating that this user is being undeleted and will have access to all trials the user previously had access to in the primary organization before the user was deleted.

o         The primary organization of the user is changed to the primary organization specified in the Add User dialog. 

o         The user is undeleted as part of this action.  

o         The user now only has access and is visible in the organization that was specified for the primary organization in the Add User dialog.

·         If the user is newly added and Active is checked, two email notifications are sent to the user:

o      A notification that the user has been created. The AnjuEDC URL is also included in the email. When the user accesses the URL, the user name is pre-populated on the AnjuEDC Login page.

o         Temporary password.

·         Depending on the user type added, the following enabled links display under the Action column of the Users page:

o      If a regular (non-admin) user was added, the Assign Trials and Assign Organization links display under the Action column of the Users page.

o      If an Organization Admin user was added, the Assign Organization link displays under the Action column.

·         If you added a Global Admin user, no links display under the Action column of the Users page, since this user has access to everything, and no permissions need to be assigned.

7.      If you added a regular user, add the trial(s) first and then other permissions as needed.  (See Configure User Permissions.)
